Issue
PCIGC struggled to keep its claims system current and couldn’t send transactions directly into Sage Intacct. As a result, staff routed transactions through an intermediary system or manually entered journal entries — increasing workload and the risk of incomplete or inaccurate data.
The process became more complex when allocating payments across multiple insolvencies. Staff relied on spreadsheets built from exported Sage Intacct data, but pulling and working with that data was time-consuming. Manual calculations introduced additional risk, especially when exceptions required different allocation approaches.
Together, these challenges created an inefficient, manual workflow that limited visibility and increased the likelihood of errors. PCIGC needed a more streamlined approach to reduce manual effort, improved accuracy, and strengthen financial controls while getting more value from its Sage Intacct investment.
Solution
To address these challenges, PCIGC prioritized tighter integration and automation in its Sage Intacct environment. CBIZ assessed existing systems and workflows and developed a practical approach focused on simplifying processes and improving how data moved across systems.
Building on PCIGC’s existing claims framework, the team implemented a customized claims platform that connects directly with Sage Intacct. This eliminated the need for intermediary systems, streamlined transaction processing, and improved the flow of financial data. The updated environment also expanded reporting capabilities, giving PCIGC clearer insight into both financial and operational performance.
CBIZ also worked closely with PCIGC to simplify how payments are allocated across insolvencies. By analyzing the organization’s structure and requirements, the team developed a more efficient approach and automated key steps. Along the way, they identified and removed an unnecessary part of the process, further reducing manual effort.
Throughout the project, CBIZ translated technical requirements into clear, actionable steps, helping stakeholders stay aligned and keeping the implementation on track.
Outcome
With these improvements in place, PCIGC increased efficiency and accuracy while expanding its reporting capabilities.
What made it work:
Time savings
Eliminated the intermediary system and manual transaction posting, saving about 250 hours a year.
Automated allocations
Reduced manual allocation preparation and review, saving about 40 hours a year.
