Issue
A leading manufacturer of rugged technology mounting, docking, and mobility solutions was pursuing an acquisition-driven growth strategy. Each acquired business introduced additional legal entities, sales channels, reporting structures, and transaction data sources. Many newly acquired businesses continued operating on legacy ERP systems while gradually transitioning to the parent organization’s enterprise platform.
This fragmented technology environment increased the complexity of sales tax compliance. Internal personnel were required to collect, validate, reconcile, and normalize information from multiple ERP systems and reporting formats before returns could be prepared. As the organization expanded, these largely manual processes consumed increasing amounts of employee time and elevated the risk of reporting inconsistencies, filing errors, and missed compliance obligations. ERP conversion projects added another layer of complexity and potential compliance exposure.
The organization required a scalable compliance model capable of supporting newly acquired entities without creating separate processes for each acquisition or placing additional strain on accounting and tax personnel.
Solution
CBIZ implemented a managed sales and use tax compliance solution designed to support the client’s acquisition-focused growth strategy. The solution established a standardized framework capable of accepting and processing sales data from multiple ERP systems simultaneously while maintaining compliance continuity throughout system migrations and organizational integration efforts.
Standardized data mapping, reconciliation, and validation procedures accommodated varying transaction formats and reporting structures across acquired entities. A streamlined onboarding methodology enabled newly acquired businesses and data sources to be incorporated into the existing compliance framework while legacy systems remained operational. Consistent compliance controls and reporting standards were applied across all entities regardless of source system.
CBIZ assumed responsibility for return preparation, review, filing, and remittance activities across the organization. This eliminated the need for internal teams to redesign compliance processes following each acquisition and provided a scalable model capable of supporting continued growth without proportional increases in staffing requirements.
Outcome
The organization established a scalable sales tax compliance model that supported ongoing acquisition activity while preserving filing continuity. Over a three-year period, eight acquired entities were incorporated into the compliance process. The framework simultaneously supported data from three separate ERP systems and enabled new acquisition-related data sources to be incorporated into the established compliance workflow quickly and efficiently.
By consolidating multiple entities and reporting sources into a single managed compliance process, the organization significantly reduced internal compliance administration while maintaining on-time filing performance throughout ERP transition initiatives. The standardized approach improved visibility into sales tax obligations across entities and jurisdictions while reducing the risk associated with inconsistent reporting formats, manual data manipulation, and acquisition-related compliance gaps.
The repeatable framework allowed accounting and tax personnel to focus on acquisition integration, operational priorities, and strategic growth initiatives rather than recurring compliance administration. The organization is now positioned to integrate future acquisitions without substantially redesigning compliance processes or expanding internal tax resources.
