CBIZ began supporting a public charter high school in 2016, providing outsourced HR services, including payroll, benefits administration, HR compliance, and support for occasional employee relations issues.
At the onset of the relationship, our primary focus was ensuring accurate payroll processing, particularly during periods when a single pay cycle could include 100+ changes. We prioritized delivering error-free payroll and building efficient processes to establish confidence with the COO.
Solution
To build the client’s confidence in payroll processing, we implemented several foundational improvements:
- Established a clear payroll schedule with defined deadlines for all payroll changes
- Introduced a secure and confidential process for sharing sensitive documents
- Provided flexible communication, including ad hoc phone support when conversations were more effective than email
As the team grew, we documented processes that could be easily duplicated when team changes occur, and, on rare occasions when things did not go as planned, we proactively communicated what happened and how we would prevent similar situations in the future.
Furthermore, we stayed on top of applicable payroll practices and laws, which we shared with the client and implemented into how we delivered services. In addition to payroll processes, we built an ongoing relationship as a thought partner when employee-related situations arose that required more dialogue than the standard payroll processes.
Over the course of adecade, we learned to understand our client’s culture to provide HR support in how they want to engage with staff.
Outcome
As a result of our decade-long relationship, we created processes and procedures that have been easily duplicated with other similar clients. The trust we have built has led to several referrals of HR service to similar schools and resulted in several new engagements.
